Cancellation policy
If you need to cancel or reschedule your appointment at Specialist Sports Medicine, on the Sunshine Coast (Noosa & Maroochydore), please give as much notice as possible so the time can be offered to another patient who may be waiting.
Specialist appointments are longer than a standard GP visit, so a missed appointment is a meaningful gap in the day. Reasonable notice lets us offer the appointment to someone who needs it. The full policy is below.
How to cancel or reschedule
Call (07) 5415 0428 as soon as you know you cannot attend. Bookings are handled by Sunshine Coast Orthopaedic Group reception. Reception will help you find another appointment time that works.
Notice period
We ask for a minimum of 24 hours notice for cancellations or reschedules where possible.
- Cancellations made with 24 hours notice or more are not charged.
- Cancellations made with less than 24 hours notice may attract a cancellation fee.
- Missed appointments without prior contact may attract the full appointment fee.
The applicable fee is advised at the time of booking.
Occasional changes are understandable. A pattern of repeated short-notice cancellations or missed appointments may affect how future appointments are arranged.
Genuine emergencies and unforeseen events are always treated reasonably. If you are unwell, in hospital, or otherwise prevented from contacting us, please let reception know as soon as you are able.
Running late
If you are running late, please call ahead. Reception will let you know whether your appointment can still proceed on the day. Arriving significantly late may mean the appointment needs to be shortened or rescheduled to make sure you get a thorough consultation.
WorkCover and insurer-funded appointments
For appointments funded by WorkCover Queensland or another insurer, missed-appointment and short-notice cancellation policies follow the relevant scheme rules in addition to clinic policy. The insurer is notified of any non-attendance, as required.
New patient forms
If you have been sent a new patient form before your appointment, please complete it before you arrive. The clinic is introducing electronic intake forms (via Consentic) sent before your appointment, so you can complete them online ahead of time. This helps us make the most of your time and means the focus stays on your story rather than paperwork.
Why this policy exists
Specialist sports medicine sessions are tightly booked and many patients wait weeks for the right appointment. A late cancellation typically cannot be filled, so the time is lost both to the practice and to the next patient on the waiting list. A short-notice fee is not punitive. It reflects the cost of an unfillable specialist appointment and helps keep the schedule fair for everyone.
